What changes were made to the Cultural Data Profile in June 2020?  

Many arts and culture organizations have moved in-person programming to a digital format because of Covid-19 quarantine protocols, and there has been a significant impact on employment during the pandemic. We have developed some new questions in order to allow organizations to accurately reflect their digital programs and to quantify the effects on employment across the sector. We had already planned to improve our questions related to digital programming with our streamlined survey roll-out at the end of 2020, but we decided to implement these changes early to collect baseline data from participants to better capture shifts in programming across the sector.  

 

Where can I record Digital Program Activity and related Revenue, Expenses in my annual CDP? 

The new questions appear in four places in the Expenses over $50K CDP: Earned Revenue, Contributed Revenue, Expenses, People and Places, and Program Activity. The new questions have been integrated into the CDP Expenses under $50K as well. 

All new Expenses under $50K and Expenses over $50K CDP surveys will automatically include the Digital Programs/Broadcasting Program Activity section and related Revenue and Expense lines when created. Additionally, when the Survey Settings in any existing survey are rerun, this section will be added automatically. The Broadcasting/Digital programs section cannot be removed from your survey, but you can leave it blank if these fields don’t apply to your organization.  

 

Where can I record the impacts of the Covid-19 crisis on my organization?  

All new Expenses under $50K and Expenses over $50K CDP surveys will automatically include new sections to capture the impacts of the Covid-19 crisis on employment and programming. The Covid-19 impact questions are not required to complete the CDP survey, if the fiscal year you are working on was not affected by Covid-19 you can leave those questions blank.  Lastly, the data being collected is currently available on reports.

Here is a complete list of additional questions and related instructions within each section of the Expenses over $50K CDP: 

 

Earned Revenue – Operating section: 

  • New Question: Of your organization's total earned operating revenue, how much was from programming delivered digitally? To answer this question, enter the amount already included in all earned operating revenue that represents just the revenue from digitally delivered means.  

Contributed Revenue section: 

  • New Question: Of your organization's total contributed revenue, how much was associated with programming delivered digitally? To answer this question, enter the amount already included in all contributed revenue that represents just the revenue associated with digitally delivered programming.  

Expense Summary section: 

  • New Question: Of your organization’s total operating expenses, how much was for costs associated with delivering programming digitally? To answer this question, enter the amount already included in all non-personnel expenses that represent just the expenses associated with digitally delivered programming. 


People and Places NEW Section: Personnel Changes due to COVID-19

These questions reference the period in early 2020 during the COVID-19 crisis. Please fill them out in reference to that time frame, regardless of what Fiscal year’s survey you are completing. 

  • Number of employees laid off. Enter the number of employees (part or full time) laid off due to COVID-19. Laid off is defined as severance of employment, requiring the rehiring process to bring employees back.  

  • Number of employees furloughed. Enter the number of employees (part or full time) furloughed due to COVID-19. Furloughed is defined as an individual with reduced or zero work hours but who remains an employee, allowing for reinstatement without going through a rehiring process.  

  • Of those furloughed or laid off employees, how many (if any) have been brought back? This is defined as the number of those furloughed or laid off who have returned to pre-crisis levels of employment. Only include employees brought back after they were laid off or furloughed due to COVID-19. 

 

Program Activity: Digital Programs/Broadcasting 

Please count each program one time only. If a program qualifies to be in more than one category, choose one place to report it. 

  • Hours produced (optional): the running time of the media you produced. If you produced 4 videos that are each 15 minutes long enter 1 hour here. This section will not take integers, so please round to the nearest full hour. 

  • Hours broadcast (optional): the total amount of hours that the media was broadcast. If you have a single 1-hour video that was broadcast 3 times, enter 3 hours here. If you have a 1-hour video that was viewed 300 times, enter 300 hours here. 

  • Listeners: unique listeners to digital audio content 

  • Viewers: unique individuals viewing digital video/cinema content 

  • Audio Content: audible content only 

  • Video Content: audible and visible content 

  • Cinema Content: related to film/motion pictures 

  • Content-Other formats: content that does not fit into the already defined categories 

  • NEW line: Distinct on-demand production: A unique production that a user can find and view/listen to at will.  

  • NEW line: Distinct live production: A unique production that is broadcast as it is being produced.  

  • NEW line: Distinct live production time offered: For example, a single live performance broadcast online would count as 1 distinct live production and offered 1 time. A single live webinar that was broadcast three times throughout the year would count as 1 distinct live production and was offered 3 times. 

 

Program Activity Summary:  

This question references the period in early 2020 during the COVID-19 crisis. Please fill it out in reference to that time frame, regardless of what Fiscal year’s survey you are completing. 

  • New Question: During the period of the COVID-19 crisis when in-person gatherings were impossible due to stay-at-home orders and/or government health guidelines, did your organization: Choose one: Deliver Programming normally, Modify Program Delivery, Cease program delivery? By "modified programming", we mean programming where production or delivery of programmatic content was changed from original intentions to adhere to stay-at-home orders and/or government health guidelines (not including the cessation of all programming). 

 

Expenses Under $50K: In the Program activity section, you will use the Virtual/Online Attendance and Participation lines to record viewers and listeners; the Programs/Events lines to record unique programs (productions/media) and total programs (productions/media) occurrences, and Media Content to record Hours Produced and Hours Broadcast

Where can I find how many viewers I had on a digital program? 

Most digital platforms will have an analytics page or place where the number of views/viewers has been tracked. There is a difference between Digital Programming/Broadcasting and Social Media and Web sections in the CDP even though the analytics may be tracked in the same place on the specific platform. Below are resources for popular Digital Media sites.  

Zoom: 

You can access your Zoom analytics by signing in to the Zoom web portal and selecting Dashboard. The Dashboard tab allows you to view statistics on the overall usage of your Zoom account. The data on your Dashboard updates daily at 12:00 GMT.

TikTok: 

To access your analytics on TikTok you will need to have a Pro Account. To set up your Pro Account you will need to log in to TikTok and open the Privacy and Settings tab from your profile page. From there select “Manage My Account” and then select “Switch to Pro Account”. This will give you a set of steps to change your account to a Pro Account. Once you have activated your Pro Account you will have an Analytics button under your account options where you can access your account’s analytic information.
